Cycle to work - Join the Cycle2work scheme!

NHS Grampian have teamed up with Halfords to offer staff the opportunity to participate in the Cycle2work scheme. This is an open ended scheme. This means you can now choose to join the scheme whenever you like.

Cycle2work enables you to hire a bicycle for travelling to work and for leisure. The hire of the bicycle is paid for by ‘salary sacrifice’ reductions in your salary. As your taxable salary will be reduced while you are paying for the bike, then depending on your personal tax circumstances, you will pay less tax and national insurance. It is also a great way to become more active reduce your carbon footprint and spend less time in your car.

There are a wide range of bikes available. You can shop in-store at Halfords, Tredz or one of the independent shops Halfords work with. If you prefer to shop online, you can redeem online at Tredz.co.uk or by using Click and Collect at Halfords.com. You can choose a new bike and safety equipment worth up to a maximum of £20,000 through this scheme over 12 months, 18 months or 24 months

You must find your perfect bike and accessories before applying so you know exactly what amount to apply for. This way you won’t apply for too much or too little – this is really important to get right because you cannot add funds or get a refund on your application once you have been approved.

The Cycle2work scheme has been developed in response to the Department for Transport's scheme to promote healthier journeys to work and to reduce environmental pollution, with Halfords being the leading company offering the Cycle2work scheme. The scheme offers access to hundreds of top brands available from Halfords, Tredz or one of the independent shops Halfords work - locate your nearest participating store.

IMPORTANT

  • At least 50% of the time you use the bike must be for journeys to/from or at work. This can include cycling to or from a station or bus stop if you use public transport to get to work. The remaining 50% of use can be for any purpose.

  • To be eligible to participate in the salary sacrifice scheme:

    - You must be a full or part time employee on a permanent contract – employees on fixed/temporary contracts which are less than 12 months from the date of application are not eligible

    - You must be aged 18 or over and

    - Your salary, after the salary sacrifice deduction, must not be less than National Living Wage.

    - Bank staff or staff who are on a career break and staff who are on unpaid absence at the point of application will not be eligible to participate in the salary sacrifice scheme.

How to sign up to the scheme

1) Register at https://www.cycle2work.info and click on ‘Employee Sign Up’. To register use our unique employer code:

  • To apply over 12 Months: GRAMPIAN12C2W
  • To apply over 18 Months: GRAMPIAN18C2W
  • To apply over 24 Months: GRAMPIAN24C2W

If you do not have internet access you can apply by calling 0345 504 6444.

2) You will then receive an email with a link to verify your email address (you must use your NHS Grampian email address)

3) At this point decide how much you want to contribute via salary sacrifice and identify which bike and safety equipment you would like. Check the bike is available from Halfords (or other participating stores) and is eligible under the Cycle2work scheme. You will not be able to contribute any additional amount towards the bicycle and safety equipment, nor can you receive a refund if the full amount you apply for is not utilised. It is important therefore that you ensure that you make an application for the correct exact value.

4) Complete your application and digitally sign your online hire agreement. This will then be sent to the Expenses team to complete eligibility checks.

5) Once your application has been approved by NHS Grampian, you will receive your Letter of Collection from Halfords by email. This covers the total value of the bike you applied for through the scheme. Print your Letter of Collection and present it at the store when going to collect your new bike. You can also redeem online at Tredz.co.uk or by using Click and Collect at Halfords.com.

6) After your application has been approved and your letter of collection has been sent you will commence deductions through your salary by salary sacrifice split over your chosen 12, 18 or 24 months, benefiting from Tax and NI savings (where applicable). Please note that the amount that you apply for is the amount that you will pay back for example if you apply for £5000 over 18 months you will pay back £277.77 each month.

7) Congratulations - you can now cycle to work, saving money, getting fit and going green!
